Two ways to connect Microsoft 365 to Salesforce, doing different jobs. The Outlook add-in puts a Salesforce panel beside the email so a rep can log it, create a task or edit the record in one click. Einstein Activity Capture runs in the background, relating email and calendar to the matching contact, lead, account or opportunity automatically. Most teams want both, configured deliberately.

The case for it

Why this layer matters

The argument here is not efficiency. It is that the record is incomplete, and decisions are being made on it anyway.

  • Context never reaches the record. The detail that changed the deal was in an email thread. The objection that lost it was raised on a call. Neither is in Salesforce, so neither is in the forecast, the handover or the post mortem.
  • Double entry, with neither copy trusted. The same piece of work exists as a Salesforce task and a board card. People update one. Reporting quietly diverges, and everyone learns to check both.
  • Hand-offs depend on memory. Sales closes, delivery needs to start, and the trigger is someone remembering to raise a ticket. Integration makes that a system event rather than a favour.
  • AI is only as good as what it can see. An agent grounded on a CRM that never saw the conversation will answer confidently and wrongly. This is the strongest commercial reason to close the gap now.

Which apps can you integrate with Salesforce?

We regularly integrate Outlook, Gmail and Google Workspace, Microsoft Teams, Monday.com, Jira and Mailchimp, alongside ERP and CRM platforms. Beyond those, anything with an API can be connected, including in-house and legacy tools. Where the vendor publishes a supported package we use it; where they do not, we build and support the connection ourselves.

Does Einstein Activity Capture store emails in Salesforce?

Not as records you can report on. Einstein Activity Capture surfaces email and calendar events in the Salesforce interface, but it does not write them to the activity object as standard reportable data. Where reporting, automation or AI grounding depends on activity history being queryable, a different approach is needed. Better raised during scoping than after go-live.

Will an integration create duplicate records?

Not if matching is designed first. Duplicates come from integrations that sync on email address alone, or that run before anyone agreed what makes two records the same. We define the matching rules, run them against your real data, and show you the collisions before anything is switched on.

Do we need a Salesforce admin to run these integrations?

No. Some clients keep an internal owner and buy specialist depth around them; others hand the platform to us entirely. Both work. We will give you an honest recommendation based on the shape of your team rather than what is easier to sell.

What does an app integration cost?

It depends on how many systems, how much data, and whether a supported package exists for your stack. We scope it as a fixed-price work package against an agreed specification, so you approve the cost before any build starts. Simple email and calendar connections are considerably cheaper than a two-way service and engineering loop.
